Start the Microsoft Office 365 backup process by clicking Create on the Dashboard and selecting Microsoft 365 backup job. This opens the Backup Job Wizard for Microsoft Office 365, allowing you to configure the job step-by-step.
The Source page displays the list of available Microsoft 365 accounts, Exchange Online mailboxes, OneDrives and SharePoint Online sites that can be protected by adding them to the backup job.
NAKIVO Backup & Replication allows you to choose a SaaS storage location for your backup. Expand Advanced options to back up items in the selected Microsoft Office 365 accounts to different Backup Repositories.
The solution allows you to automate Microsoft 365 backup jobs to run yearly, monthly, daily or customize their frequency. You can also chain Microsoft Office 365 backup jobs to trigger them to run one after another.
Upon job completion, a recovery point is created and sent to the SaaS Backup Repository. Recovery points enable a point-in-time restore in the future. Specify how many recovery points to save and for how long.
On the Options page, you can name the backup job, configure pre- and post- job scripts and limit the transporter load. Select Finish to wait for the schedule to initiate or Finish & Run to start immediately.
When performing granular recovery, you can browse and search for Exchange Online emails and attachments, OneDrive files and folders, and SharePoint Online document libraries and lists that you need.
To start recovery, choose a backup from the Backup Repositories or Jobs & Groups view. You can select a recovery point from the right pane to specify the point in time you would like to recover an object from.
NAKIVO Backup & Replication allows you to choose the account to which you would like to recover your Microsoft 365 items. Later, you can select which specific mailbox, OneDrive or SharePoint site should be the destination for the recovery.
On the Objects page, you can not only designate the Microsoft Office 365 items that you want to recover, but also search your Microsoft 365 backups to address compliance requirements and fulfill e-discovery requests.
You can specify the location to which your Microsoft 365 items should be restored. They can either be sent to the source location, or, depending on the type of item, to a specific Exchange Online mailbox, OneDrive account or SharePoint Online site.

While Microsoft does everything possible to maintain the infrastructure and provide its users with reliable service, many things can still go wrong and can jeopardize your Microsoft 365 data. Without a dedicated Microsoft 365 backup solution, you put your data at risk of being compromised by accidental deletions, external and internal security vulnerabilities, legal and compliance penalties, and retention policy gaps.
What are the general requirements for using Backup for Microsoft Office 365?
A set of general requirements must be met to successfully use Backup for Microsoft 365 in NAKIVO Backup & Replication. First, install NAKIVO Backup & Replication on one of the compatible operating systems (refer to Help Center). Second, add the Microsoft 365 account to the inventory in NAKIVO Backup & Replication. Then provide the required API permissions in Microsoft Azure Portal for the solution. You need to set separate read and write permissions for Exchange Online, OneDrive for Business and SharePoint Online. Create a special local SaaS Backup Repository in NAKIVO Backup & Replication for your Microsoft 365 backups. Once you create your first Microsoft Office 365 job, NAKIVO Backup & Replication runs an initial full backup of your Microsoft 365 data.
What counts as a user when purchasing subscription licenses for Microsoft 365 backup?
One mailbox for Exchange Online or one user OneDrive for OneDrive for Business within your Microsoft 365 subscription counts as one Microsoft 365 user in NAKIVO Backup & Replication. A personal site or a user that has access to a SharePoint Online site with “Edit” or “Full Control” permissions also counts as one Microsoft user. However, you do not need to count the same user more than once across multiple Office 365 services, that is, the same Exchange Online, SharePoint Online and OneDrive for Business user is considered to be one Microsoft 365 user. In addition, shared mailboxes do not require a license. Note that the following mailboxes are not supported: resource, public folder, guest and group mailboxes.
How many recovery points can I create per each Microsoft Office 365 backup job?
After each job run, NAKIVO Backup & Replication creates a recovery point for each item in the Backup Repository. A single Microsoft Office 365 backup job can contain up to 4,000 recovery points. To facilitate long-term retention of your Microsoft 365 data, you can rotate these recovery points on a daily, weekly, monthly and yearly basis.
Who owns the backed up Microsoft 365 data once you run a backup job in NAKIVO Backup & Replication?
Your Microsoft 365 data backups are stored in a local folder. This means that you have full control over your Microsoft 365 backup data stored on-premises and you are the one and only owner of Microsoft Office 365 backups that you create.
Can I deliver Backup for Microsoft Office 365 as a service?
Yes. Managed service providers (MSPs) can use NAKIVO Backup & Replication to deliver Backup for Microsoft 365 as a service. All the solution’s advanced data protection features are available to MSPs in the MSP Enterprise Essentials, MSP Enterprise and MSP Enterprise Plus editions. You can provide your MSP clients with backup for their Exchange Online, OneDrive for Business and SharePoint Online data.
